Effective date: 28 August 2025. This policy explains how Pixel Perfect Digital collects, uses, and protects your personal information in compliance with the Protection of Personal Information Act 4 of 2013 (POPIA).

3. What Personal Information We Collect

We only collect personal information that you voluntarily provide to us. This includes:

  • Contact enquiries: Your name, email address, phone number (optional), the service you are enquiring about, and your message — submitted via our contact form.
  • Business information: Company name, address, and service details if you provide them as part of a project enquiry or onboarding process.
  • Admin access: Email addresses of authorised personnel who access our admin panel, used solely for one-time password (OTP) authentication.

We do not collect sensitive personal information (as defined in POPIA) such as race, health data, or biometric information.

4. Why We Collect Your Information

We collect and process your personal information for the following lawful purposes:

  • To respond to your enquiry or service request.
  • To provide quotations, proposals, and digital services.
  • To communicate with you about your project or account.
  • To maintain records of our business interactions as required by law.
  • To authenticate authorised users accessing our internal admin panel.

5. How We Use Your Information

Your information is used only for the purposes stated above. We will not:

  • Sell your personal information to third parties.
  • Use your information for unsolicited marketing without your consent.
  • Process your information for any purpose incompatible with the reason it was collected.

6. Who We Share Your Information With

We may share your personal information with trusted third parties only where necessary to deliver our services:

  • Hosting provider (domains.co.za / cPanel): Your submitted contact form data is stored on our secure cPanel hosting server, located in South Africa.
  • Email service: We use server-side PHP mail to send enquiry notifications and auto-replies. Your email address is used only to respond to your enquiry.
  • Zoho CRM (future): Once integrated, enquiries may be stored in our CRM system. You will be notified of this update when it is activated.
  • Paystack (future): When our payment processing system is activated, billing details will be processed by Paystack in accordance with their privacy policy.

We do not transfer your personal information outside South Africa without ensuring adequate protection is in place as required by POPIA.

7. Where We Store Your Information

Contact form submissions are stored in a secure log file (contact_log.json) on our hosting server, located in a directory outside the publicly accessible website folder. This file is not accessible from the internet.

Access to this log is restricted to authorised personnel only, via our password-protected admin panel with OTP verification.

8. How Long We Keep Your Information

We retain personal information for as long as is necessary for the purpose it was collected, or as required by law. As a general rule:

  • Contact form enquiries are retained for up to 3 years for business record purposes.
  • If you request deletion of your information, we will comply within a reasonable timeframe unless retention is required by law.

9. Cookies and Tracking

Our public website does not use tracking cookies, analytics cookies, or advertising cookies. We do not currently use Google Analytics, Facebook Pixel, or any similar tracking tools on the public-facing site.

Our admin panel uses a session cookie (PHPSESSID) solely to maintain your authenticated login session. This cookie is temporary and is deleted when you log out or close your browser. No personal information is stored in this cookie.

Note: If we add analytics or advertising tools in future (e.g. Google Analytics 4, Facebook Pixel), this policy and our cookie disclosure will be updated, and a cookie consent mechanism will be implemented where required.

10. Your Rights Under POPIA

As a data subject, you have the following rights under POPIA:

  • Right to access: You may request a copy of the personal information we hold about you.
  • Right to correction: You may request that we correct inaccurate or incomplete information.
  • Right to deletion: You may request that we delete your personal information, subject to legal retention requirements.
  • Right to object: You may object to the processing of your personal information in certain circumstances.
  • Right to lodge a complaint: You have the right to lodge a complaint with the Information Regulator of South Africa if you believe your rights under POPIA have been violated.

12. Security

We take reasonable technical and organisational measures to protect your personal information against loss, theft, unauthorised access, disclosure, or modification. These include:

  • SSL encryption on our website.
  • Storage of contact logs outside the publicly accessible web directory.
  • OTP-based authentication for admin access.
  • Email obfuscation to protect contact addresses from automated bots.

While we take all reasonable precautions, no internet transmission or electronic storage method is 100% secure. If you believe a security breach has occurred, please contact us immediately.

13. Third-Party Links

Our website may contain links to third-party websites (e.g. Facebook, Google). We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. We encourage you to review this page periodically. Continued use of our website after changes are posted constitutes your acceptance of the updated policy.
